Terms & Conditions

We recommend that you read the following Terms and Conditions carefully as they will apply to your booking with Feel Free Travel.

By using our site and the Services, you authorise that:

You legally qualify to enter into binding contracts (i.e. you are at least 18 years of age and every person you represent in respect of the booking also qualifies in this respect). You will use our site only for the purpose of using and accessing Services.

These Terms and Conditions (ā€˜Termsā€™) govern the relationship between ā€˜youā€™ meaning the person, party or parties and ā€˜weā€™, ā€™usā€™, ā€˜ourā€™ or ā€™the companyā€™ meaning Feel Free Travel Limited a company registered in England under number 10549017. Feel Free Travel Limited will supply the ā€˜serviceā€™, ā€˜tourā€™ or ā€˜toursā€™.

The website hosted at www.feelfreetravel.com (ā€˜The Siteā€™) is operated and trading as Feel Free Travel Limited. These are the Terms and conditions which will apply to your booking and outline among other things, the cancellation policy and certain limitations of liability. These Terms and Conditions affect your rights and designate the governing law and forum for the resolution of any and all disputes

If you have any questions, please contact us before using our website, booking a tour or participating in a tour.

Booking Tours & ā€˜The Contractā€™

When you book a tour through our website or a Travel Agent you confirm you have the authority to accept and do accept on behalf of your party the terms of these booking conditions. If and when we accept your booking we will do so in a confirmation email. We will attach relevant details for the tour, a payment invoice and a copy of these terms and conditions.

When a confirmation email has been sent a confirmation number will be assigned and a contract will exist. The contract binds these terms and conditions which are governed by English Law, and the jurisdiction of the English Courts. Once the contract is in place you or your party may not cancel the booking other than in accordance with our cancellation policy and Terms and Conditions.

It is your responsibility to check the booking details received within the confirmation email. If for any reason these details are incorrect then it is your responsibility to inform us in writing within 48 hours of receiving the confirmation email.

We reserve the right at our discretion to accept or reject any booking of a tour, for any reason.

Pricing, Payments and Charges

The fees of the Tour published may fluctuate from the time of publication. We recommend that ā€˜youā€™ the customer, determine the most up to date price of those Tours including any additional fees relating to them provided Feel Free Travel Limited at the time of making the booking. After a confirmation email has been issued, the Fee for your Tour will not change. Full payment must be made at least 60 days prior to the tour start date. If full payment is not completed at least 60 days prior the cancellation process will commence. When making a payment through our website we confirm that your payment is secure and your financial details are passed through a secure service using SSL encryption technology.

Date Changes

If you wish to change your tour date after making a booking then just let us know. We are unable to handle any date change requests made within 14 days of your Tour Date. Your Tour Date Change request should be submitted in writing and the below fees will apply; i) Less than 60 days: A date change request received within 60 days will result in a standard fee of Ā£250 per person and we will do our best to move you to a new date of your choice (subject to availability). ii) 60 Days or more: A date change request received on or after 60 days of your tour start date can be made with no fee.

Any request of tour date changes by you the customer must be made in writing and be acknowledged by us. The date on which a date change request is received by us will determine the administrative fees. We recommend you consult with your Travel Insurance company to request a refund on any fees liable.

If you wish to change your flight departure and have used our 3rd party affiliate links this will be subject to the Terms & Conditions of the affiliate or airline and we carry no responsibility for any fees liable.

Tour Cancellations and Refunds

If you wish to cancel your trip all together and decide not to travel with Feel Free Travel at all, the following fees will apply;

i) Less than 60 days: A 100% cancellation fee will apply. We will hold the initial deposit on the system to allow you to travel with us in the future.

ii) 60 Days or more: A 50% cancellation fee will apply. We will hold the initial deposit on the system to allow you to travel with us in the future.

Any request of cancellation by a customer must be made in writing and be acknowledged by Feel Free Travel Ltd. The date on which a date change request is received by Feel Free Travel Ltd will determine the cancellation fees. No fees will be waived in the event of personal loss or injury. We recommend you consult with your Travel Insurance company to request a refund on any fees liable.

If you wish to cancel your flight departure and have used our affiliated links this will be subject to the Terms & Conditions of the affiliate or service provider and we carry no responsibility for any fees liable.

Medical Conditions and Special Requirements

You agree to notify Feel Free Travel Ltd in writing of any medical conditions, pregnancy, disability or any other mental and or physical condition which may affect your ability to participate in the provided service. Failure to notify Feel Free Travel Ltd may result in you being refused the right to travel and suspend the service provided. Failure to notify Feel Free Travel Ltd of any such condition that results in the refusal of travel or suspension of service will carry a 100% cancellation fee. Some of our trips may be unsuitable for some customers and it is the customers responsibility to check prior to booking. Feel Free Travel Ltd is not required to provide any special facilities unless previously agreed to do so in writing. Feel Free Travel Ltd will do everything it can to support all customers special requests including dietary requests. Medical facilities vary from location to location and Feel Free Travel Ltd hold no responsibility for the standard of treatment taken from any form of establishment. Feel Free Travel staff will do everything they can to provide help and support to all customers throughout their trip.

You agree that the onus on ā€˜youā€™ to have been vaccinated and inoculated AND made provision for any mental or physical medical condition which could jeopardise your ability to undertake the placement.

Passports and Visaā€™s

It is a legal requirement and totally your responsibility to ensure that you have a valid passport for the period of your intended stay plus 6 months thereafter and a valid visa for the whole experience including any extensions you may later decide to engage in. If entry is denied for any reason concerning the above documents we cannot be held responsible if this occurs.

Your Cooperation

We will require you to provide Feel Free Travel Limited with all essential valid and accurate documentation including proof of identity including but not limited to passport details, etc, and registered medical or physical condition which we should be made aware of to enable your Tour booking to be processed.

Deposits

All deposits taken on any start date for any tour are non-refundable

(i) If you make a booking using an initial deposit of Ā£1 and miss the following payment, we reserve the right to cancel your booking.

(ii) If you make a booking using an initial deposit of Ā£99 and fail to pay off your trip 60 days before departure, we reserve the right to cancel your booking.

Your place on the trip will be released to allow further bookings to take place. In the event of cancellation we will hold the initial deposit on the system to allow you to travel with us in the future.

Transfer of service to another person

The Contract is ā€˜youā€™ the person and ā€˜usā€™ Feel Free Travel Limited. You cannot transfer your Tour to another person or party. If for any reason you cannot participate in a Tour the cancellation policy will apply. We advise you to inform us at the earliest opportunity of any concerns regarding your booking and we will do our best to help however we will have no obligation to do so.

Itinerary changes in the Tour

Based on the nature of the service provided within the tour there are many factors outside of our control that can impact the Tour Itinerary. We will do our utmost to deliver the Tour as stated on the Tour Itinerary. In the eventuality of circumstances outside of our control that result in a change of Tour Itinerary we will not be liable to offer full or partial refunds but we will do our best to replace any missed inclusion with another inclusion of equal or greater value.

Cancellation of a Tour by the Company

Feel Free Travel Limited reserves the right to cancel any trip due to unusual, unavoidable or unforeseen circumstances outside the Companyā€™s control. Including, but not limited to; war, the threat of war, civil strife, pandemic, terrorist activities or the threat of terrorist activities, acts of governments or local authorities, strikes, industrial disputes, demonstrations, natural disasters, unnatural disasters such as explosions or any similar event which is outside our control.

If we cancel you or your parties Tour, you can either;

i) transfer the amount paid onto another available Tour start date.
ii) transfer the amount paid onto another Tour of an equal or lower value with a refund of the difference actioned as soon as possible.
iii) transfer the amount paid onto another Tour of higher value. You will be required to pay any additional fees resulting in the higher value Tour.

Feel Free Travel Limited does not take any responsibility for any incidental expenses or consequential losses that you or your party may have incurred as a result of the booking including but not limited to; flights or other transportation bookings, visas, accommodation bookings, vaccinations, loss of earnings, non refundable car parking or any other fees.

Unused Tours or Services

We reserve the right to refuse any refund or discount for missed or unused Tours or Services, including voluntary or involuntary removal from the Tour or Service. This is including but not limited to; personal sickness, family illness or death, late arrival of the tour, early voluntary or involuntary removal of the tour. If you decide to opt out of certain activities throughout the Tour we reserve the right to refuse any form of refund or substitute of any said activity.

Severability

If any of these Terms or any provisions of a Contract are determined by any competent authority to be invalid, unlawful or unenforceable to any extent, such term, condition or provision will to that extent be severed from the remaining terms, conditions and provisions which will continue to be valid to the fullest extent permitted by law.

Applicable law

This Agreement complies with English laws and governs these Terms and Conditions to the fullest extent allowable. Any disputes in connection with these terms if not capable of being resolved between the Customer and the Company must be initiated in the courts of England. Participation in any tour or service by us, Feel Free Travel Limited confirms acceptance of the conditions outlined above.

Limitations of liability

We Feel Free Travel Limited accept liability for the negligence of the staff representing us. We may provide tours or services using third parties. We take no responsibility and make no representation of the services provided by third parties. We exclude all responsibility and liability permitted by the maximum extent by law for the services provided by third party providers or their failure to provide the prescribed services.

We Feel Free Travel Limited exclude all liability by the maximum extent permitted by for law for;

The site or your use of the site;
any misrepresentation (unless fraudulent);
the breach of any implied warranty, condition or other term;
the breach of any duty at common law;
the breach of these Terms; and/or the breach of any Contract
any acts or failings of any third party (including, but not limited to any government service/agency, accommodation provider, tour operator or airline);
any event or circumstance beyond our reasonable control
any property loss or damage (including to your baggage) or personal injury, loss or death.
any consequential loss;

The limitation of our liability in this clause does not include or limit in any way our liability: for death or personal injury caused by our negligence; for fraud or fraudulent misrepresentation; or for any matter for which it would be illegal for us to exclude, or attempt to exclude, our liability.

From time to time, the UK Foreign and Commonwealth Office issues travel advice concerning travel to certain countries, particularly in respect of dangers posed to travellers. You acknowledge that it is your responsibility to check this advice and, should you choose to travel notwithstanding any warnings given, you do so at your own risk.

You must behave in an appropriate manner when partaking in our tour or service provided by Feel Free Travel Limited . If your behaviour is deemed unacceptable by us, your Group Leader or our staff will take steps at our discretion resulting in a termination of services by us. If this happens you will not be liable for a refund as it is assumed that you have agreed to act in an appropriate manner when you make your booking, therefore unacceptable behaviour will be regarded as a breach of these Terms and Conditions on your behalf.

Data Protection and Privacy Policy

In order for us to process your booking we have to ensure that you are eligible for a tour by collecting information from you such as contact information, your personal information including your date of birth and preferences. We take full responsibility for protecting the information you have provided us with by following the data protection principles. If you do not provide us with certain personal information, we may not be able to supply our tours to you.

We may pass on your information to third party suppliers and tour operators who assist in helping us deliver our services and itineraries, such as booking travel arrangements with airlines and other transport companies. If required from customs/immigration by law, the information you have provided may be passed on to public authorities.

Your personal information may be retained by us so that we can communicate with you which will allow you to book other tours with us. We may also communicate with you after the tour as a form of marketing and inform you of new tours available or special offers, if you wish to opt-out and not receive any further communication after your trip has finished then please contact us.

We understand some of your data could be sensitive, such as religion or health details therefore if you wish to see your personal information that we hold about you, you may request to obtain it and we can explain why we keep it and which third party suppliers may require what information and why.

If for any reason there are any changes to your personal details or you believe that any information you have provided us with is inaccurate or incorrect then please let us know as soon as possible.

By providing personal information to us, you are giving us permission to collect, hold, use and disclose your personal information in accordance with the above terms. If you do object to any of the things mentioned above then please tell us in writing.

Data Protection: Photos & Videos

Whilst on the tour, images or videos containing you may be taken by other group members, your group leader or our suppliers and you may provide us with media that you have personally taken. You accept that we have the right to publish these photos and videos on our website, social media and printed materials including details such as your name, location and dates.

If you do object to any of these images being used, then please inform us immediately at the time you see them, and they will be removed and not be used for any future marketing.
